    THE NETHERLAND-AMERICA FOUNDATION
    Program Administrator Job Description (8/21/13)

    The Netherland-America Foundation (NAF), a 501(c)(3) charity, promotes the active exchange of talent, information and ideas between the Netherlands and the United States in fields of science, art, education, business and public affairs. Programs include: NAF-Fulbright Fellowships, offered in cooperation with the Fulbright Center in Amsterdam and the Institute for International Education in New York City, NAF summer internships on Capitol Hill, offered in collaboration with The Fund for American Studies and George Mason University, NAF Interest-Free Study Loans, NAF Business Networking meetings, NAF Cultural Grants, NAF Alumni programs, Five Dutch Days, social and cultural events and more.

    The Foundation is headquartered in New York City, with chapters in Boston, Chicago, Washington DC, West Michigan (Holland), Northern California (San Francisco) and Southern California (Los Angeles). The NAF is run by its Board of Directors, assisted by an Executive Director, Development Director, Program Administrator and part-time Accountant (all in New York City), and a body of over 150 volunteers across the United States and the Netherlands.

    The NAF conducts fundraising benefits in New York (the Peter Stuyvesant Ball), Washington DC (the NAF Gala Awards Dinner), Los Angeles (Dutch American Heritage Day Gala Dinner Dance) and Boston (the NAF Mid-Winter Fundraising Dinner).

    The Foundation seeks a motivated, energetic, hands-on individual to assist the Executive Director in all aspects of program administration. Hours are flexible, 32 hours/week. The position is office based, with periodic offsite evening planning meetings and event facilitation, as required.

    Skills required:

    - Superior customer service and interpersonal skills
    - Professional demeanor, ability to practice discretion as regards sensitive Foundation information, ability to interact with a sophisticated, international donor base
    - Computer proficiency (i.e. general document processing, mail merges, labels, spreadsheets, etc.)
    - Knowledge of various on- and offline computer programs (i.e., Paint, PowerPoint, Google docs,
    Mailchimp, etc.)
    - Familiarity with business and social networking tools (i.e., LinkedIn, Facebook, Twitter, etc.)
    - English language required, especially a demonstrated proficiency in writing
    - Dutch language desirable, not required

    JOB DESCRIPTION

    General office administration
    - Order office supplies
    - Answer phone and check messages
    - Keep postage meter updated and filled
    - Open and date mail
    - Bill coding and preparation
    - Membership intake (credit card payment processing, check deposits, recordkeeping)
    - Other miscellaneous

    Communications/Publicity
    - Liaise with NAF Chapter’s representatives
    - Website updates (NAF HQ, NAF chapters, Five Dutch Days)
    - Event announcement and distribution via Mailchimp for NAF HQ, chapters and Five Dutch Days
    - Help compile information and produce monthly e-bulletin via Mailchimp
    - Send out Annual Review and membership mailings
    - Prepare and send out packages for NAF Board Meetings

    Program administration
    - NAF-Biz New York (and NAF chapter) Committees
    o Event organization, including website updates, event announcements, registration, catering
    o Attend and facilitate evening events (in New York City)

    - Five Dutch Days Committee
    o Event organization including website updates, event announcements, registration
    o Attend evening meetings with Five Dutch Days Committee
    o Attend and facilitate evening events

    - NAF Alumni Committee
    o NAF Connection and other event organization
    o NAF Mentor Program coordination
    o Attend evening meetings with NAF Alumni Committee

    - Cultural Committee
    o Prepare notice of meeting, minutes and send packages to all members
    o Attend Cultural Committee meeting and follow up on grant awards
    o Liaise with chapter representatives on NAF-funded cultural programming in their areas

    - Education Committee
    o Prepare notice of meeting, minutes, summary of all student loan applications, prepare and send
    packages to all members
    o Attend phone meeting and follow-up student loan / grant awards
    o Student loan administration (study loan disbursal, credit check, loan collection, recordkeeping in QuickBooks and spreadsheet, sending reminder of outstanding student loans)

    Fundraising
    - Peter Stuyvesant Ball
    o Assist Organizing Committee with website updates and marketing emails
    o Assist accountant in processing credit card payments for Ball tickets and raffle

    - Netherland-America Foundation Gala Awards Dinner
    o Assist Organizing Committee with website updates and marketing emails
    o Assist accountant in processing credit card payments for Ball tickets and raffle
